In the realm of communications, Public Relations (PR) encompasses the strategic management of an organization's image and reputation, influencing how it is perceived and received by the public. Unlike advertising or marketing, PR emphasizes an organic approach, striving to create a positive perception without direct promotion of a product or service, as expounded by Investopedia (2023).
This groundbreaking venture is a novel initiative spearheaded by EXCO 18, comprising esteemed members Bianca (President), Kezia (Vice President), Steven (Secretary), and Yuty (HR and Education Director). The chief impetus behind its establishment is to foster an extensive array of media partnership opportunities, thereby amplifying public awareness and engagement with InSIM, a prominent Indonesian students' organization within SIM. With a visionary outlook, the team envisions that the gradual expansion of media collaborations will eventually contribute to the enhancement of sponsorship prospects.
The PR Team is tasked with a series of significant responsibilities, namely:
1. Addressing inquiries regarding media partnership opportunities
The PR Team shoulders the responsibility of promptly addressing media partnership requests, which are commonly directed to our external email address, insimonline@gmail.com. These tasks entail skillfully drafting formal responses tailored to each designating partner and arranging virtual meetings to deliberate on the intricacies of the partnership proposals.
2. Upholding a well-structured and organized procedure for managing partnerships
Ensuring a methodical and seamless process in determining the final decision for media partnerships holds paramount importance. In adherence to this principle, the PR Team meticulously follows a well-defined set of procedures, which encompasses the following steps:
Responsiveness to Media Partnership Requests via Email: The team diligently attends to media partnership inquiries received through email communication, promptly acknowledging and engaging with potential partners. →
Scheduling Mutually Viable Meetings: Efforts are undertaken to schedule meetings that accommodate the preferences and availability of both parties involved, fostering a conducive environment for comprehensive discussions. →
Thorough Evaluation of Sponsorship Proposals: A meticulous review of sponsorship proposals submitted by prospective partners ensues, affording the team a comprehensive understanding of the proposed collaboration. →
In-Depth Discussions and Clarifications: The PR Team actively engages in extensive discussions with potential partners during meetings, delving into the finer intricacies of the proposed partnership to ensure clarity and alignment of objectives. →
Internal Deliberations on Terms and Conditions: After external discussions, the team conducts internal deliberations to address terms and conditions, further refining the partnership's alignment with organizational goals. →
Formalization of Partnerships through Memorandum of Understanding (MoU): If the proposed partnership proves successful, the formalization process involves the signing of a Memorandum of Understanding (MoU), solidifying the commitment between the parties. →
Collaboration with Clarissa (Creative Director) and Kenji (Media and Publication Director) on Media Collateral Publications: The PR Team liaises closely with the Creative Director and the Media and Publication Director, to oversee and coordinate the publication of media collaterals across various social media platforms, augmenting the partnership's outreach and visibility.
3. Managing the official website and dissemination of news release
Through a comprehensive revamp of the InSIM Official Website, we aspire to elevate public awareness of our organization and community. Introducing NewSpace, our innovative initiative dedicated to drafting and disseminating news to the public. We are driven by the vision to metamorphose InSIM into a transparent entity, wherein all individuals remain apprised of our events, committee recruitments, and both internal and external affairs.
4. Ensuring a strategic approach to promoting a positive public perception and reputation
As an esteemed international student club in SIM, boasting a substantial membership base, InSIM places great emphasis on reputation management, as it significantly influences the success of our events and the continued growth of our sub-clubs.
In order to achieve this, we diligently administer a Feedback Form to all participants and committees at the conclusion of every event. The collated feedback proves immensely valuable, as it aids in comprehending participant satisfaction levels, ensuring their contentment, and promptly addressing any grievances to maintain a positive and harmonious environment.
Public Relations (PR) in InSIM involves strategically managing the organization's image and reputation to shape public perception positively. The PR Team, led by EXCO 18, takes responsibility for media partnership inquiries, maintains a structured procedure for partnerships, manages the official website and news releases, and ensures a strategic approach to reputation management to enhance participant satisfaction, and to foster a transparent and thriving community of Indonesian students in SIM.
